Terms of Service

The short version. This summary is here to help; the full terms below are what apply.
- You get a 14-day free trial with no card. After that, a paid plan keeps your workspace editable.
- Plans renew automatically each month or year until you cancel. You can cancel at any time.
- You can ask for a refund within 3 days of a charge. After 3 days, charges are not refunded.
- Your data is yours. We host it so the service works, and you can export or delete it.
- All Hands Ops helps you keep track. It does not replace your own judgment about whether crew, vessels, aircraft, or equipment are safe and legal to operate.
1. Who these terms are between
These terms are an agreement between [legal business name to be added], which operates All Hands Ops ("All Hands Ops", "we", "us"), and the company or person that creates a workspace ("you", "the customer"). If you create a workspace for a company, you confirm that you are allowed to accept these terms for that company.
By creating a workspace, starting a trial, or buying a plan, you agree to these terms and to our Privacy Policy. If you do not agree, do not use the service.
2. The service
All Hands Ops is a web application for field operations teams to keep track of assets, personnel, jobs, daily logs, maintenance, and reports. We may add, change, or remove features over time. If we remove something you rely on in a way that materially reduces the service, you may cancel as described in section 7.
3. Accounts and your team
- The person who creates a workspace is its first admin. Admins decide who else gets a login and whether each person is an admin or a regular user.
- You are responsible for the people you give access to, for what they do in your workspace, and for removing access when someone leaves.
- Keep sign-in details private. Tell us promptly if you believe an account has been used without permission.
- You must be at least 18 and able to enter a contract. The service is for business use, not personal or household use.
4. Free trial
A new workspace starts with a 14-day free trial. No card is needed. When the trial ends without a paid plan, the workspace becomes read-only: your team can still sign in, view, export, and delete records, but cannot add or change them until an admin chooses a plan.
5. Plans, limits, and price
Each plan has limits, such as the number of assets and logins, shown on the plans page in the app. You cannot move to a smaller plan while you are over its limits. Prices are in US dollars and do not include taxes; where we are required to collect sales or similar taxes, they are added to your charge.
We may change prices. We will tell the workspace's admins at least 30 days before a new price applies, and it will apply from your next renewal after that notice.
6. Billing and renewal
- Paid plans are charged in advance, monthly or yearly, to the payment method you give our payment processor, Stripe. We do not receive or store your full card details.
- Plans renew automatically at the end of each billing period, at the then-current price, until you cancel.
- If you change plans during a billing period, the difference is charged or credited in proportion to the time left in that period.
- If a payment fails, we will try again and let you know. If it stays unpaid, your subscription ends and the workspace becomes read-only, as at the end of a trial.
7. Cancelling
The account owner can cancel at any time from Billing, using Manage billing. Cancelling stops the next renewal. Your plan stays active until the end of the period you have already paid for, and then the workspace becomes read-only.
8. Refunds
If you ask us within 3 days of a charge, we will refund that charge in full and end the plan it paid for. After 3 days, charges are not refunded, including for unused time, unused logins or assets, or a plan you stopped using, except where the law requires otherwise. 9. Your data
- You own your data. Everything you and your team enter or upload stays yours. You give us permission to store, copy, back up, and display it only as needed to run the service for you and to send the emails the service sends on your behalf (such as invitations, reminders, and end-of-day reports).
- You are responsible for having the right to enter the information you put in, including information about your crew, and for telling your people that you use this service.
- You can export lists as CSV and print reports at any time. Admins can delete records.
- After a workspace has been read-only or cancelled for 90 days, we may delete it and its data. Tell us if you want it deleted sooner. Backups are overwritten on their normal schedule after deletion.

Emails to your clients. When you ask the service to email a report, quote, or invoice to one of your clients, it is sent on your behalf, with your company's name on it, and replies go to the reply-to address you set. You are responsible for having your client's agreement to receive these emails and for what they say, including prices, tax, and payment terms. If you connect a Stripe account so clients can pay invoices online, those payments are processed by Stripe and paid directly into your own Stripe account under Stripe's terms. All Hands Ops takes no fee, never holds the money, and is not responsible for payments, refunds, chargebacks, or disputes, which are between you, your client, and Stripe. All Hands Ops is not a party to any agreement between you and your clients.
10. What you must not do
- Do not put classified information, Controlled Unclassified Information (CUI), or technical data controlled under export laws such as ITAR or the EAR into the service. It is not built or certified for that.
- Do not use the service to break the law, or to store content that is unlawful or that infringes someone else's rights.
- Do not try to access another company's workspace, get around plan limits or security, overload the service, or use scripts or bots against it.
- Do not resell the service or copy it to build a competing product.
- Do not use it to send emails to people who haven't agreed to hear from you, or to send marketing or bulk email.
We may suspend a workspace that breaks these rules or that puts the service or other customers at risk. Where we reasonably can, we will tell you first and give you a chance to fix the problem.
11. Operational and safety decisions are yours
All Hands Ops is a record-keeping and planning aid. Readiness flags, certification and service reminders, hour counts, and reports are based on what you and your team enter, and they can be incomplete, late, or wrong. You remain solely responsible for the safe and lawful operation of your vessels, aircraft, vehicles, and equipment; for the qualification and currency of your crew; for maintenance and inspection; and for meeting any regulatory, contractual, or insurance requirements. Do not rely on the service as your only record where a law or contract requires you to keep one, and do not rely on a reminder from the service in place of your own checks.
12. Availability and support
We work to keep the service available and your data safe, and we keep regular backups. We do not promise that the service will be uninterrupted or error-free, and we may take it offline for maintenance. The service depends on other providers (for hosting, sign-in, payments, and email), and their outages can affect it.
13. Our rights in the service
We own the service, including its software, design, and name. These terms give you the right to use it while your trial or plan is active; they do not transfer any ownership. If you send us suggestions, we may use them without owing you anything.
14. No warranties
The service is provided "as is" and "as available". To the fullest extent the law allows, we disclaim all warranties, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
15. Limit of liability
To the fullest extent the law allows: (a) we are not liable for lost profits, lost revenue, lost data, or any indirect, incidental, special, or consequential damages; and (b) our total liability for all claims relating to the service is limited to the amount you paid us for the service in the 12 months before the event that gave rise to the claim. These limits apply whatever the legal basis of the claim, and even if we were told the damage was possible.
16. Your responsibility to us
You agree to cover claims, costs, and damages (including reasonable legal fees) that third parties bring against us because of the data you put into the service, how you or your team used it, or your breach of these terms.
17. Ending the agreement
You can stop using the service at any time by cancelling. We may end or suspend your access if you seriously or repeatedly break these terms, or if we stop offering the service; if we stop offering it, we will give you at least 30 days' notice and a prorated refund of any period you paid for but will not receive. Sections 9, 11, 13, 14, 15, 16, and 18 continue to apply after the agreement ends.
18. Law and disputes
These terms are governed by the laws of the State of Mississippi, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts serving Harrison County, Mississippi, and both of us agree to those courts.
19. Changes to these terms
We may update these terms. If a change is significant, we will tell the workspace's admins by email or in the app at least 30 days before it takes effect. Using the service after a change takes effect means you accept the updated terms.
20. General
These terms and the Privacy Policy are the whole agreement between us about the service. If part of these terms cannot be enforced, the rest still applies. If we do not enforce a term, that does not waive it. You may not transfer this agreement without our consent; we may transfer it as part of a sale or reorganization of the business.
